PAYROLL OFFICER & HUMAN RESOURCES ASSISTANT
Vodafone Vanuatu is seeking a Payroll Officer & Human Resources Assistant to be based in Port Vila.
Mission
Payroll Officer & Human Resources Assistant will be responsible for ensuring the accurate and timely processing of employee payroll, as well as providing comprehensive HR administrative support.
Main Duties
A. Payroll Processing:
- Accurate and Timely Processing: Process payroll for all employees promptly and accurately, using the payroll system and adhering to all relevant local laws and regulations.
- Reporting: Extract payroll data and producing payroll reports for management.
- VNPF Contribution Payment: Extract payroll data and complete staff contribution calculations, ensuring both staff and employer contributions are based on monthly remuneration. Ensure all processes are followed and payments are made on time.
- Deduction Calculations: Calculate and process various payroll deductions, including benefits, contributions, and other statutory payments. Ensure final settlements are calculated accurately.
- Time Off Management: Manage employee time off requests, including annual leave, sick leave, personal leave, and vacation time, ensuring compliance with company policy and applicable laws.
- Record Keeping: Maintain accurate payroll records, staff database records, and annual leave and sick leave records.
- Manage Staff Medical Claims: Coordinate all staff medical appointments and organize payments for doctors and prescriptions.
- Petty Cash: Act as the custodian of petty cash, managing disbursement, reconciliation, and reimbursement.
- Employee Inquiries and Issue Resolution: Respond to employee payroll inquiries and promptly resolve any discrepancies or issues.
- Systems: Ensure accurate payment entry on Coupa and reconciliation on Elmo and timekeeping records
B. HR Administration:
- Maintain Employee Records: Ensure data accuracy in HRIS systems.
- Assist with Recruitment: Post job openings, screen resumes, and schedule interviews.
- Onboard and Offboard Employees: Manage the onboarding process for new hires and the offboarding process for departing employees.
- Provide General HR Support: Answer employee questions about company policies, assist with performance management processes, and maintain confidentiality of employee information.
- Process LPO Requests: Handle purchase order requests for HR and administrative needs.
- Assist with Orders and Distribution: Manage the orders and distribution of uniforms, shoes, yearly diaries, and gifts.
Required Skills and Experience:
- Bachelor’s degree in human resources, Business Administration, or a related field.
- 2+ years of experience in payroll processing and HR administration.
- Strong knowledge of payroll principles, labor laws, and regulations.
- Solid understanding of HR principles, policies, and procedures.
- Excellent attention to detail and accuracy.
- Strong organizational and time management skills.
- Ability to identify and resolve payroll and HR issues.
- Excellent verbal and written communication skills.
- Ability to build and maintain strong relationships with employees and management.
- Ability to work independently and as part of a team.
